Job Title: Admin Assistant

Salary Range: Php 30,000-35,000

Working hours:  8:30am-4:30PM PHT

Work Schedule:  5 days a week (Exact schedule TBC)

Are you organized, proactive, and ready to keep workflows running smoothly?  We are looking for a dynamic Admin Assistant to provide vital support to our Spares & Projects teams. You’ll ensure seamless operations, especially during team absences, enhance customer service, and help streamline our processes.Join us and play a key role in keeping our teams connected, projects on track, and processes running efficiently!

Key Responsibilities:

Spare Parts Support

  • Assist with spare parts management when the Spares Manager is on leave
  • Secure and validate spare part prices
  • Prepare quotes and receive orders
  • Execute spare parts orders and coordinate deliveries

Project Coordination

  • Manage project documentation
  • Track project schedules and progress

Office Administration

  • Manage leave approvals and track absences
  • Schedule staff meetings and information-sharing sessions
  • Arrange travel and bookings
  • Perform ad-hoc tasks as required by the management team

Qualifications:

  • Proven experience in administration or office support, ideally in a technical, project, or spare parts environment
  • Strong knowledge of spare parts management, including quoting, price validation, order processing, and delivery coordination
  • Excellent communication skills in English
  • Ability to manage and prioritize multiple tasks from different team members
  • Strong administrative skills with keen attention to detail
  • Team-oriented, proactive, and success-driven
  • Familiarity with communication tools such as WeChat is a plus
  • Previous experience working with Chinese nationals is advantageous but not required
  • Knowledge of or ability to understand Mandarin is a big advantage but not essential
