Job Title: Executive Assistant

Salary Range:  P30,000 – P40,000 GROSS PAY per month

Working hours: 6:00 am to 2:30 pm PHT

Work Schedule: Tuesday to Saturday

 

We’re looking for an Executive Assistant who thrives in a fast-paced, data-driven environment. In this role, you’ll manage day-to-day sales reporting, pricing updates, and online stock accuracy across all client company branches. You’ll ensure management has timely and accurate insights into branch performance and marketplace activity every day.

 

This position is perfect for someone with exceptional attention to detail, strong multitasking abilities across multiple systems, and excellent communication skills to liaise effectively with both sales teams and senior leadership.

 

Key Responsibilities

 

  1. Daily Sales Operations & Reporting
  • Prepare and distribute the daily sales report, including branch totals, F&I breakdowns, and target progress.
  • Send out the F&I (Finance & Insurance) performance report by product type and salesperson.
  • Update and maintain sales score dashboards for all branches.
  • Record and follow up on who is late or absent, submitting the “Who’s Late Today” report each morning.
  • Attend the daily management meeting with Michael to discuss previous day results and key actions.
  • Update BuyerScore and Google review summaries for leadership visibility.
  • Maintain and send SLT (Senior Leadership Team) daily updates.
  1. Pricing, Promotion & Product Management
  • Conduct daily vehicle price updates in the system and on external platforms.
  • Implement promo price changes and verify consistency between branches.
  • Coordinate dispatch price matches and ensure pricing follows the latest price list.
  • Update retail prices (benchmarking against competitors such as 2CC).
  • Perform discount hour checks – confirm all temporary discounts are correctly applied and removed.
  • Review cash MBI% and CarPlay installations performance and update summary sheets.
  • Assist with special promotions, including pricing logic and reporting of campaign results.

 

  1. Online Marketplace & Advertising Oversight
  • Monitor and update listings on Trade Me, Facebook Marketplace, and other digital channels.
  • Check for missing images, incorrect descriptions, or outdated pricing.
  • Follow up with branches to correct any errors.
  • Review cancelled deals (both online and display) to ensure data accuracy and report
  • patterns to management.
  1. Performance Tracking & Profit Monitoring
  • Maintain and update the Profit Centre dashboard, tracking gross profit, F&I income, and branch contributions.
  • Support management by highlighting models with high fixed profit for reallocation to high-performing branches.
  • Analyse pricing trends, model performance, and branch profitability.
  • Provide insight into quota progress, alerting management if any team or salesperson is below target.
  1. Communication & Coordination
  • Liaise daily with branch managers and sales teams regarding updates, discrepancies, or required follow-ups.
  • Communicate clearly with Michael and senior leadership to ensure all KPIs are tracked accurately.
  • Maintain professional internal communication etiquette, ensuring accountability and timeliness.

 

Key Skills & Attributes

  • Advanced Excel / Google Sheets skills (pivot tables, formulas, charts).
  • Experience with BI tools (Power BI, Tableau, or similar) is an advantage.
  • Strong analytical ability with a keen eye for data accuracy.
  • Excellent organizational skills and time management.
  • Clear written and verbal communication; able to translate data into insights.
  • Self-motivated with a high sense of ownership and accountability.
  • Ability to work under pressure and meet strict daily deadlines.
  • Experience in automotive, retail, or multi-branch sales operations preferred.

Qualifications & Experience

  • Bachelor’s degree in Business, Commerce, or related field preferred.
  • 2–4 years of experience in sales operations, reporting, or commercial analysis.
  • Familiarity with CRM or dealership management systems (DMS) highly desirable.
  • Proven ability to coordinate across departments and manage competing priorities.

  • Accuracy and timeliness of daily and weekly reports.
  • Consistency and correctness of pricing updates.
  • Reduction in data discrepancies or errors.
  • Quality and insightfulness of performance analysis provided to management.
  • Responsiveness and clarity in cross-department communication.
