Job Title: Office Manager/Executive Assistant (WFH)

Salary Range: PHP 40,000 to PHP 60,000

Working hours: 8:00am – 4:30pm PHT

Work Schedule: Monday to Friday

 

We are seeking a highly organised and proactive Office Manager / Executive Assistant to support our leadership team and ensure smooth day-to-day operations. This is a key role working closely with the CEO and executive team in a fast-paced, collaborative environment.

Key Responsibilities:

Administrative & Document Management

  • Create, format, and maintain professional documents, reports, presentations, and templates
  • Ensure consistency, accuracy, and high standards across all company documentation
  • Manage document storage systems and version control
  • Draft correspondence, meeting notes, and internal communications as required.

Executive Support

  • Coordinate tasks and requests from multiple members of the executive team
  • Prioritise and manage workflows to ensure deadlines are met
  • Prepare materials for (and attend meetings via Teams), including agendas and briefing documents
  • Follow up on action items and ensure accountability across stakeholders

HR & Policy Support

  • Maintain and update company policies and procedures
  • Assist in developing and documenting HR processes and systems
  • Support onboarding documentation and internal communications
  • Ensure compliance documentation is current and well-organised

OH&S / Compliance Systems

  • Develop, implement, and maintain organised systems for Occupational Health & Safety (OH&S) compliance
  • Track and manage compliance documentation and reporting requirements
  • Assist in creating structured processes to ensure ongoing adherence to regulations

 

Communication & Coordination

  • Act as a central coordination point across the executive team
  • Communicate effectively via email, phone, and virtual platforms (e.g., Teams meetings)
  • Ensure clear, concise, and professional communication at all times

What We’re Looking For:

  • 3–5+ years’ experience in office management or senior administration
  • Strong organisational and multitasking skills
  • Excellent communication and stakeholder coordination
  • Experience in HR/admin support and compliance
  • High attention to detail and ability to work independently
