Job Title: Office Manager/Executive Assistant (WFH)
Salary Range: PHP 40,000 to PHP 60,000
Working hours: 8:00am – 4:30pm PHT
Work Schedule: Monday to Friday
We are seeking a highly organised and proactive Office Manager / Executive Assistant to support our leadership team and ensure smooth day-to-day operations. This is a key role working closely with the CEO and executive team in a fast-paced, collaborative environment.
Key Responsibilities:
Administrative & Document Management
- Create, format, and maintain professional documents, reports, presentations, and templates
- Ensure consistency, accuracy, and high standards across all company documentation
- Manage document storage systems and version control
- Draft correspondence, meeting notes, and internal communications as required.
Executive Support
- Coordinate tasks and requests from multiple members of the executive team
- Prioritise and manage workflows to ensure deadlines are met
- Prepare materials for (and attend meetings via Teams), including agendas and briefing documents
- Follow up on action items and ensure accountability across stakeholders
HR & Policy Support
- Maintain and update company policies and procedures
- Assist in developing and documenting HR processes and systems
- Support onboarding documentation and internal communications
- Ensure compliance documentation is current and well-organised
OH&S / Compliance Systems
- Develop, implement, and maintain organised systems for Occupational Health & Safety (OH&S) compliance
- Track and manage compliance documentation and reporting requirements
- Assist in creating structured processes to ensure ongoing adherence to regulations
Communication & Coordination
- Act as a central coordination point across the executive team
- Communicate effectively via email, phone, and virtual platforms (e.g., Teams meetings)
- Ensure clear, concise, and professional communication at all times
What We’re Looking For:
- 3–5+ years’ experience in office management or senior administration
- Strong organisational and multitasking skills
- Excellent communication and stakeholder coordination
- Experience in HR/admin support and compliance
- High attention to detail and ability to work independently
